Welcome to Constituent ("we", "us", "our"). We respect your privacy and are committed to protecting your personal data. This Privacy Policy explains how and why we use personal data when you visit our site and use our Service, including the analytics cookies we use.
2. What are cookies?
Cookies are small text files placed on your device to help websites recognize you and remember information about your visit. They improve your browsing experience but can also be used to track how you use a site.
3. Cookies we use
We only use analytics cookies to understand how our site is used and to improve your experience. In particular, we use PostHog, which may set first-party cookies and browser storage keys such as:

3.1 What data is collected?
Analytics tooling collects usage information such as:
- Pages you visit and how long you stay
- Referring site or search terms
- Approximate geographic location (city-level)
- Device and browser type
We do not intentionally collect your name, email address, or other directly identifying personal information through analytics cookies.
3.2 IP anonymization
We configure analytics to minimize personal data and limit unnecessary collection wherever possible.
4. Consent and control
On your first visit, you will see a banner asking you to "Allow" or "Decline" analytics cookies.
- Allow: We set analytics cookies and load PostHog.
- Decline: No analytics cookies are set and analytics tracking remains disabled.
Your choice is stored in a cookie that expires after one year. You can change or withdraw your consent at any time by clicking Manage cookie preferences in our footer.

- Erase personal data we hold about you as an account holder, subject to the exceptions below

- Withdraw consent at any time (this will not affect processing done prior to withdrawal)

6.1 Scope of these rights
Constituent operates in two roles. This affects how the rights above apply:
- Account data (we are the controller). Information you provide when creating an account (name, email), billing data we hold to operate the service, and usage data we collect for security and analytics. The rights above apply to this data in full.
- Workspace data (we are the processor). Information entered into workspaces by you and your colleagues (action logs, recorded stances, campaign data, contacts). Your organisation is the controller of this data. Requests relating to workspace data should be directed to your organisation's administrator, who can manage that data within the Service or contact us for assistance under our Data Processing Addendum.
- Public-source data (we are the controller of the aggregation service). Parliamentary records, the Register of Lobbying for Ireland, gov.ie publications, party press releases, and similar. We republish this data from public sources. Erasure requests relating to this data cannot be actioned by us — the data is published by its original source and you would need to contact them. Where such data is republished alongside information about a named elected representative, it reflects what was said or done in a public capacity.
6.2 Retention
We retain personal data only as long as necessary for the purposes described in this policy:
- Account data is retained while your account is active and for a reasonable period after closure to allow reactivation and to meet legal or tax-record obligations.
- Workspace data is retained while your organisation's subscription is active. After a trial ends without subscription, or after a subscription is cancelled, workspace data is retained for 30 days to allow reactivation, then deleted.
- Billing and tax records are retained for the period required by Irish tax law (typically six years).
- Audit log entries (recording changes to data within the Service for security and support purposes) are retained for up to 24 months. After 90 days, IP addresses in audit entries are replaced with hashed values.
- Public-source data is retained as long as the underlying source publishes it.

We may update this policy from time to time. The date at the top will indicate when it was last revised. We encourage you to review it periodically.
